Privacy Policy

1. Who is responsible
Tennis Mind decides why and how your personal data is processed and is therefore the controller under the EU General Data Protection Regulation (GDPR) and the Swiss Federal Act on Data Protection. You can reach us about anything in this policy at privacy@tennis-mind.fanik.ch.
2. What we collect
We keep the data to a minimum and collect only what the service needs:
- Account data: your email address, a securely hashed password (never the password itself), sign-in times and your chosen language.
- Player profile: the name or alias, level, playing style and preferences you enter.
- Session inputs: how you feel before a match, your opponent, conditions, focus goals, cue word and, in tournament mode, the schedule link and player name you paste.
- Generated sessions: the coaching script, the audio file and the entries saved in your Match Journal.
- Feedback: the optional yes/no answer and comment you send after a session.
- Subscription data: your plan, status and payment reference. Card numbers are entered on, and stay with, a certified payment provider; we never see or store them.
- Technical records: service logs containing time stamps, error details, request metadata and, for abuse prevention, an IP address (hashed where used for rate limiting).
3. Why we process it, and on what legal basis
- To create your account and produce your sessions — necessary to perform our contract with you (Art. 6(1)(b) GDPR).
- To keep the service reliable and secure, prevent abuse and fix faults — our legitimate interest (Art. 6(1)(f) GDPR).
- To handle payments and keep accounting records — contract and legal obligation (Art. 6(1)(b) and (c)).
- To act on the feedback you choose to send — your consent (Art. 6(1)(a) GDPR).
We do not use your data for advertising, profiling or automated decisions with legal effects.
4. How your session content is handled
To write your coaching script, the details you enter for that session are sent to a specialised text generation provider acting on our instructions. The finished script is then sent to a speech synthesis provider to produce the audio. These providers process the content solely to return the result to us, under contractual terms that forbid using it for their own purposes, including model training.
5. Service providers
We do not sell or rent your data. We use a small number of carefully selected providers, each bound by a data processing agreement, for: secure hosting and database operation, file storage for your audio, text and speech generation, payment processing, sending account emails, and error monitoring. They may only act on our documented instructions.
6. International transfers
Some providers process data outside Switzerland and the European Economic Area. Where that happens we rely on an adequacy decision or on the European Commission's Standard Contractual Clauses, together with encryption in transit and at rest.
7. How long we keep it
- Your account, profile and saved sessions: for as long as your account exists.
- Individual journal entries: until you delete them.
- Technical service logs: kept for a limited period for security and troubleshooting. When you delete your account, the link between those records and your account is removed.
- Invoicing records: kept as long as tax and accounting law requires.
8. Deleting your account and data
You can delete everything yourself at any time from the Account page. Deleting your account cancels any active subscription, removes your audio files from storage, deletes your profile, journal entries and feedback, and closes your login. This cannot be undone.
9. Your rights
You have the right to access your data, correct it, have it deleted, restrict or object to its processing, receive it in a portable format, and withdraw any consent you have given — without affecting processing that already took place. Write to privacy@tennis-mind.fanik.ch and we will respond within one month. You may also lodge a complaint with your national data protection authority, or in Switzerland with the Federal Data Protection and Information Commissioner.
10. Security
Data is transmitted over encrypted connections and stored with access rules that allow each account to reach only its own records. Audio files are kept in private storage reachable only through short-lived links issued to you. Passwords are stored as salted hashes.
11. Cookies and local storage
We use only what is strictly necessary: keeping you signed in, remembering your language, and temporarily holding the answers you have typed so you do not lose them. There are no advertising or cross-site tracking cookies.
12. Children
Accounts are intended for users aged 16 and over. Younger players may use Tennis Mind with the consent and supervision of a parent or guardian, who should contact us about any data concerns.
13. Changes to this policy
We will update this page when our processing changes and adjust the date above. Significant changes will be announced in the app.
